Z-Data Group on the move - New Offices 31May 2010

 Z-Data Group on the move
New offices from 31st May

At the end of this week, Z-Data will be leaving the offices we have occupied for 10 years and moving to our new building at 197 North Ridge Road which is a stone's throw from our existing location. We are planning to begin the move from midday on Friday 28th May and be up and running in our new location at 8:00am on Monday 31st May.  We are keeping the same phone numbers and customers should not experience disruption.  However, should there be any issues our clients can reach us on our cell phones.  Technicians will be performing their usual duties but the admin department will be out of action from 1pm on Friday.

Opportunity for Change One of the benefits of the move is the opportunity to re-assess how we work and to design our new premises to suit our current and future needs.

It has become apparent that more phone lines are needed and this is one of the major changes we will be making.  We approached Neotel with our plans to keep existing numbers, install additional lines and upgrade from ISDN to a Primary Rate Line.  They were very responsive to our needs and have made the decision to change service providers an easy choice.  We will be reporting back on our experience, once we are settled in. Hot Desking - maximising space and resources Another change will be the move to hot desks for our client-facing staff.  Technicians spend most of their time out of the office and it is rare that all are in the office at the same time.  By using the hot desk principle, we will maximise space and resources.   A new look office - the importance of good design Our new offices have fantastic views over Durban, including the Moses Mabhida Stadium.  We have designed the interiors to take advantage of light and have incorporated clean, modern furniture and use of colour to create a visually appealing and efficient work space.   The importance of a pleasant working environment cannot be underestimated.  Studies have shown that a cramped, under-lit and untidy space stifles creativity and encourages negative feelings while a light, bright and modern space boosts morale and productivity. Making it work - it's all about the team Because the building was tenanted up until the end of April, we have had only one month to renovate and redesign our new offices.  Luckily, we have had the services of a highly professional and committed team to make it happen.  Having just gone through the process, we believe that a successful office move requires the following elements:

  • A good architect who understands the requirements
  • An interior designer/space planner who works with the architect and the client to ensure that the finished building suits the corporate identity and needs of the business.
  • A strong technical team who can provide IT infrastructure that suits the current and future requirements of the business. The technical team should also be able to liaise with service providers to ensure that there is minimal downtime.
  • A project manager who will communicate the business requirements, achieve consensus, make decisions and co-ordinate the activities of all parties. This can be an external resource or someone within the business who has been freed up to focus on the project.
  • The buy in of all staff.  It is vital that all considerations are addressed, such as transport to the new location for existing staff; consensus on the office layout plan plus feedback or concerns that staff may have.  You want to start in your new location on a positive note.
